Emoji as lightweight status indicators

Typing an emoji directly into a spreadsheet cell — a green checkmark, red X, or traffic-light circle — gives a spreadsheet a quick, scannable status column without setting up conditional formatting or extra columns.

Inserting emoji in Google Sheets

In Google Sheets, opening the Insert menu and choosing Emoji brings up a searchable picker directly in the browser, or you can paste an emoji copied from anywhere else straight into a cell.

The =EMOJI() function in Google Sheets

Google Sheets also has a built-in =EMOJI("name") function that inserts an emoji by typing its name into a formula — for example, =EMOJI("red heart") — which is useful when you want a formula to insert an emoji automatically based on another cell's value, rather than typing it in by hand every time.

Inserting emoji in Excel

On Windows, the Win + . keyboard shortcut opens the system emoji panel inside any Excel cell; on Mac, Control + Command + Space Bar does the same — both insert the emoji directly where your cursor is. Excel does not have an equivalent EMOJI() formula, so conditional emoji in Excel usually means pasting the character into a custom number format instead.

A faster option for repeated use

For a spreadsheet that needs the same handful of status emoji repeatedly, copying them once from an online emoji keyboard and keeping them in a spare cell to copy-paste from saves reopening a picker every time.
